Administrative & Membership Assistant

PRIMARY RESPONSIBILITIES:

Under the direction of the Executive Director, the Administration & Membership Assistant position provides clerical and administrative support to staff and members with a focus on data entry, office administration, scheduling and communication.

ESSENTIAL FUNCTIONS:

  • Assist with Membership Activities, to include but not limited to, answering and routing phone calls, greeting office visitors, assist with annual membership drive, assist members with general website and account questions and other member needs.
  • Assist with Database Management, to include but not limited to, entry of new profiles for member and individuals, verify attendance post-event, data cleanup on a regular basis, and pull reports or search as requested by other departments.
  • Perform administrative functions, to include but not limited to, general correspondence preparation and filing, maintain schedule and calendar for meetings, coordinate office equipment repairs, ordering office supplies, handle incoming mail, including receipting of certain checks and keeping office areas clean.
  • Event Support, to include but not limited to, tasks assigned for annual conference, assist with event planning with presentations, name badges, updates on registration numbers, and any other event support as required.
  • Perform other duties as needed or assigned.

QUALIFICATIONS AND REQUIREMENTS:

  • College degree preferred
  • Strong organizational skills and attention to detail with the ability to manage multiple projects while consistently meeting deadlines
  • Strong work ethic and initiative
  • Proficient in Microsoft Office, internet and database technologies, and data entry/management
  • Ability to learn and use a variety of technology tools (Association management software, Adobe suite, Zoom, etc.) quickly and efficiently
  • Strong critical thinking and problem-solving skills
  • Ability to work collaboratively with staff and executive leadership to contribute to all team initiatives
  • Strong interpersonal, oral, and written communication skills
  • Knowledge of audio-visual meeting technology
  • Must be able to lift 25 or more pounds repetitively
  • Must have a valid Ohio driver’s license and reliable transportation
  • Must be able to work a flexible schedule – some overnight travel required, and some evening events required
  • Must have the ability to work remote when required

The hourly rate for this non-exempt position shall be commensurate with the candidate’s skills and experience. The annual range shall be $40,000-$45,000.
